What FieldScanReader Does

Stop Typing.
Start Scanning.

FieldScan Reader uses AI to read handwritten time cards, equipment logs, and field reports — printed or photographed — and exports the data directly into your existing systems. No more manual entry. No more transcription errors.

Export to Payroll
Full review-and-approval cycle — Admin → PM → HR — averages ~3 minutes per card, start to finish.
The Process

Five Steps. Zero Typing.

From paper time card to payroll system in minutes — not hours.

1
Scan or Photo
Scan the completed time card or take a photo with any phone or office scanner.
2
Drop & Extract
Drop an entire week's batch or a single card into FieldScan Reader. AI reads every field instantly.
3
Review & Verify
Uncertain fields are flagged yellow. Review, correct, and confirm before exporting.
4
Export to Payroll
Download a pre-formatted file ready to paste directly into your payroll software. One click.
5
Done
Hours, cost codes, job numbers, and descriptions — all in your system. Accurately, with confidence that the data has been reviewed by the PM.
🚜

Bonus for the PM: The same batch of scans also captures equipment usage — a consolidated report reaches the Project Manager automatically, no extra work required.

What It's Used For

Two Applications. One Reader.

FieldScan Reader started with time cards. The same AI engine now extracts equipment usage too — with more on the way.

💼
Time & PayrollLive
The original application. Reads handwritten time cards, flags uncertain fields for human review, produces payroll-ready exports by employee, and summarizes them for direct paste into Sage. All with PM sign-off built into the workflow.
🚜
Equipment Use TrackingLive
Extracts equipment usage from field logs, consolidates it by job and cost code, and formats it for direct entry into your Sage-based equipment allocation records. Includes an option to auto-post directly into Sage, and weekly tracking of all equipment usage and site location.
The Workflow

From Field to Payroll

FieldScan Reader fits into your existing process — it doesn't replace it. Your crew keeps using paper cards. You stop typing.

  • 01

    Employee Submits Time Card

Handwritten, digital PDF, or a photographed image of a written card — any time card format can be read in for processing. No apps, no devices, no training required in the field.

  • 02

    Admin Scans & Extracts

Scan the week's cards, drop them into FieldScan Reader, review the AI output in minutes, and save into an Excel-format spreadsheet for any required edits. This phase also includes error flagging for incorrect job numbers, cost codes, and equipment that may have been interpreted incorrectly by the Reader — an additional step to edit and correct data prior to approval.

  • 03

    PM Reviews & Approves

Project Manager reviews cost codes, hours, and job assignments — plus the equipment usage pulled from the same cards. One review, two data streams approved together.

  • 04

    HR Reviews, Then Posts

Nothing is locked. HR can allocate OT hours, flag secondary-job approvals, or edit freely before it hits payroll.

  • 05

    Equipment Report Reaches Equipment Operations

Once the PM approves, the equipment report is summarized by employee, then consolidated by week, and readied for export to Equipment Operations.

Capabilities

Built for the Real World

Designed around the way field crews actually work — not the way software vendors think they work.

✍️
Reads Any Handwriting
AI vision trained on real construction time cards. Handles messy handwriting, abbreviations, corrections, and notes in the margins.
📦
Batch Processing
Drop an entire week's cards at once — individually or as a single combined PDF from your scanner. Process all employees in one run.
⚠️
Confidence Flagging
Every extracted field gets a confidence score. Low-confidence fields are highlighted for human review before anything reaches payroll.
🔄
Three-Party Approval
Built-in workflow for Employee → Admin → Project Manager sign-off before HR receives the file. Full audit trail on every record.
💼
Payroll-Ready Output
Exports a structured file formatted for direct paste into your payroll system. Same-day consolidation, cost codes in the correct format, overtime calculated.
🔒
Secure by Design
Runs locally on your machine — no employee data leaves your network. API keys are session-only and never stored. Compliant with standard payroll data handling practices.
